    Every arrangement is reviewed before instruction because the ownership structure, occupancy agreement, resident needs, rent-payment route and division of responsibilities can vary substantially between providers.

    Experience managing rented and multi-occupancy homes

    East Valley Properties has managed residential rental property since 2019 and currently manages more than 50 residential units. We have particular experience with multi-occupancy properties and tenancies where rent is funded wholly or partly through Universal Credit or Housing Benefit.

    The precise service and reporting arrangements are agreed before instruction and documented in the management agreement or service specification.

    Emergency attendance depends on the agreed service, issue, access and contractor availability. East Valley coordinates appropriate specialists but does not act as a fire-risk assessor, solicitor, surveyor or other regulated specialist unless separately appointed and qualified.

    Rent collection and benefit-funded tenancies

    We have experience managing tenancies where rent is funded wholly or partly through Universal Credit or Housing Benefit. We collect and reconcile payments, identify discrepancies and follow up missing or incomplete rent in accordance with the agreed arrears process.

    Payment will often continue to be made by the tenant. A request for direct payment to the landlord or managing agent can only be considered where the applicable eligibility requirements are met and remains subject to approval by the Department for Work and Pensions or the relevant local authority.

    East Valley cannot guarantee that a direct-payment request will be accepted, that benefit entitlement will continue or that rent will always be paid in full and on time.

    Structured rent-arrears monitoring

    Our standard approach begins with early tenant contact, followed by further reminders and written escalation if the account remains unpaid. We keep the instructing landlord or housing provider informed and review the appropriate next steps where arrears remain unresolved.

    Depending on the circumstances and the client's instructions, the next step may include a repayment plan, consideration of an eligible direct-payment request, liaison with an authorised guarantor or organisation, referral to a rent-protection provider, or legal advice.

    Legal notices, court proceedings, possession action, specialist debt recovery and external legal advice are not included in the ordinary management fee unless expressly agreed. Legal escalation is never presented as automatic on a fixed day and remains dependent on the circumstances, current law and the client's authority.

    Working alongside care and support providers

    East Valley Properties provides housing, tenancy, rent and property-management services. We do not currently provide personal care, clinical services, supervision or day-to-day support to occupants.

    Where residents require care or support, this must be delivered by the housing provider or a separately appointed and appropriately qualified support organisation. The respective responsibilities, communication routes and escalation arrangements must be clearly agreed before instruction.

    We can liaise with an authorised support provider about relevant housing and property matters, subject to the appropriate authority, confidentiality and data-protection requirements.

    What we review before accepting an instruction

    Before providing a proposal, we need to understand the legal, operational and financial structure of the proposed arrangement.

    • Property ownership and any lease, nomination or management arrangements
    • Number and type of properties or rooms
    • Property locations
    • Proposed tenancy, licence or occupancy arrangements
    • Intended resident group
    • Rent level, payment route and principal source of rent
    • Universal Credit or Housing Benefit involvement
    • Responsibility for rent shortfalls or voids
    • Whether there is a separate care or support provider
    • Division of responsibility between the owner, housing provider, support provider and East Valley
    • HMO, selective or additional licensing requirements
    • Property condition and existing compliance records
    • Repairs-authorisation thresholds
    • Resident, provider and emergency communication arrangements
    • Reporting and accounting requirements
    • Insurance and specialist contractual requirements
    • Any safeguarding or risk information relevant to East Valley’s limited housing-management function

    Acceptance is subject to satisfactory due diligence, suitable contractual arrangements, appropriate insurance and confirmation that the proposed services fall within East Valley’s housing and property-management role.

      Initial discussion

      Tell us about the organisation, properties, occupants, existing arrangements and the management support required.

      Document review

      We review the property structure, proposed agreements, rent arrangements, compliance records and division of responsibilities.

      Property assessment

      Where appropriate, we inspect the properties and identify immediate operational, maintenance or compliance priorities.

      Written proposal

      We provide a written scope, reporting structure and fee proposal based on the actual requirements.

      Mobilisation

      Once appointed, we agree responsibilities, obtain the necessary records and authorities, introduce the management arrangements and establish the reporting process.

    Fees for housing-provider arrangements

    Housing-provider instructions are priced individually because the number of properties, occupancy arrangements, rent-payment structure, reporting requirements and division of responsibilities can vary considerably.

    We provide a written fee proposal after reviewing the proposed arrangement. East Valley does not currently charge VAT on its management fees.

    Contractor invoices, safety certificates, licensing charges, specialist reports, professional advice, insurance, legal work, possession proceedings and other third-party costs are not included unless expressly stated in the proposal.

    Third-party costs are charged at the invoiced cost unless a separate fee has been clearly disclosed and agreed. East Valley does not add undisclosed contractor commissions or mark-ups.
