Who we are

What we collect and why

We only collect personal information that you choose to send us, and we use it only to respond to you or to provide the service you asked for. This includes:

• Enquiry and quote forms (for example request a proposal, free block review, tender enquiries, landlord quotes and referral submissions): your name, contact details and the property details you provide, used to respond to your enquiry.
• Report a Repair portal: the issue description, address and any photos you upload, used to arrange the repair and shared with the contractor assigned to the job.
• Ask the Expert: your question and contact details, used to answer you and, where you agree, to publish an anonymised answer.
• Moving in/out meter readings: the readings and tenancy details you submit, used to update utility accounts.

Forms are delivered through our secure form providers (Web3Forms and Formspree) and our own backend systems. We do not sell your information or share it for marketing.

No analytics or advertising tracking

This website does not use Google Analytics, advertising pixels, remarketing tags or any similar tracking technology. We do not set any non-essential cookies, which is why this site does not show a cookie consent banner.

Strictly necessary browser storage

A small number of features store information in your browser purely so the feature works. None of this is used to track you:

• Repairs portal access: remembers that you have entered the portal password so you do not have to re-enter it on every page.
• Fire safety checklist: saves your checklist progress on your own device so you can return to it later.
• Admin areas: sign-in sessions for our internal management tools, used by staff only.

You can clear this storage at any time through your browser settings. Doing so only resets the feature concerned.

Google Maps embeds

Some pages include an embedded Google Map so you can see our office location or a property's location. These maps are provided by Google. When a map loads or you interact with it, Google may set its own cookies and process data such as your IP address in line with the Google Privacy Policy. Maps are set to load only as you scroll to them. If you prefer not to share any data with Google, you can avoid interacting with the embedded maps; the rest of the site works without them.

Legal basis and retention

We process enquiry information on the basis of taking steps at your request before entering a contract, and our legitimate interest in responding to enquiries about our services. Repair reports are processed so we can deliver the management service for your building. We keep enquiry records only for as long as needed to handle your enquiry and any follow-up work, and repair records for as long as they are relevant to the management of the building.

Your rights

Under UK data protection law you have the right to access, correct or delete your personal data, to object to or restrict how we use it, and to data portability. To exercise any of these rights, contact us at hello@eastvalleyproperties.co.uk. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
